Overview of How The Database Works

 

There are 4 levels of access within the database these are 

 

Group View - there is one group view login per group, this is a shared login that will be used by active local helpers to view the details of the members in their group. (Note that this login can not view any data other the data associated with the local group. Additionally this login has no ability to change any information in the database).

 

Group Admin - there is one group admin login per group, this is not a shared login. Instead one of the local helpers in a group will be chosen to have this access.  This access has the ability to edit the groups data, this includes adding applicants and members to the group and removing members from the group. (Note: this login has no access to data outside of the local group.)

 

National Council - All National Council members will be given a login to access the database, that login will give them access to view the data of members within Subud Australia (eg phone number, email, whether they are a helper, candidate helper etc). It also gives them access to National Reports eg a breakdown by number of members per group.

The National Council logins will be as follows:

1. Group Chairs and Committee members will use their official Subud email address of their position.

2. National Helpers do not have such an email so instead will use their personal email address to login.

 

National Admin - The National Secretary and the two Kejiwaan Councilers will be given login access to this level of security. Access allows editing and viewing of data nationally. The unique responsibiities of this access level includes

1) Adding a member to a new group after they have moved from another group.

2) Removing members from the register (due to death, resigning or being suspended).

The 4th video on the National Admin access is not shown on this page as the summary given above for that access is enough with regard to an understanding of how the database will work within Subud Australia. Obviously however that walkthrough has been made available to the National Secretary and the two KC's. (Note the walthroughs below does not use any real data).
